Deleting your data
How to have your data removed from BedDesk — whether you are a hostel owner with an account, or a resident whose details your hostel entered.

1.Which one are you?

2.If you have a BedDesk account
Email privacy@beddesk.in from the email address on the account, with the subject “Delete my BedDesk account”. Tell us your hostel name so we can find the right records.
What happens next:
- We confirm it is really you, because deleting a hostel’s records on someone else’s say-so would be worse than not deleting them at all.
- We offer you a full export first — residents, payments, documents — as CSV plus the files. Most people want this and only realise afterwards.
- On your confirmation we delete your account, your hostels, your residents’ records and every uploaded identity document.
- Done within 30 days, and usually within a week. We email you when it is finished.
3.If you are a resident
Your hostel is the Data Fiduciary for your information under the DPDP Act 2023. They decided to collect it and they decide when it goes. Contact your hostel first — they can delete your record themselves, from their BedDesk account.
If they do not respond, write to us at privacy@beddesk.in. We will forward your request to them, tell you that we have, and help them carry it out. We cannot delete their records on our own initiative — that is the same protection that stops anyone else deleting yours.
4.Identity documents delete themselves
You do not have to ask for this one. Any identity document a hostel uploads — including Aadhaar — is deleted automatically three months after you leave that hostel. The hostel is warned seven days beforehand and the deletion is recorded in an audit log they can see.
This runs as a scheduled job in our database, not as a manual chore somebody has to remember.
5.WhatsApp messages
If your hostel has recorded your consent, BedDesk may message you on WhatsApp about your own accommodation — rent, meals, notices.

STOPat any time to stop those messages immediately. - Message history is deleted after 12 months, or sooner if you or your hostel asks.
- Messages are delivered by Meta, so WhatsApp’s own retention and privacy terms apply to their copy. Deleting your data with us does not delete it from your own phone or from WhatsApp.
